Eduardo Said:

Can a professional report be written in first person?

We Answered:

Depends, unless they are asking for that type of personal report. If they want more of an expository assay answer, then you need to use the more general formal 3rd form, although you can interject person opinion & observation.

William Said:

why does a written report have more professional value than an oral report?

We Answered:

Once you print up a written report potentially it can have a wide circulation to a lot of people you don't know personally. Also written reports can survive for years only later to be used as a reference in another report or as research in things like a legal brief. Being professional is so important because what you write today can be scrutinized tomorrow in ways you can't imagine now.

With an oral report it's not just what you say but how you say it. The people listening also have your tone of voice and even your body language to help them understand the context and subtext of what you're saying. In an oral report you can taylor message to the audience and get an immediate response and feedback from them.

People give oral reports less weight because they are by nature ephemeral. Once said people usually forget most of the content and remember the presentation.

Professional people all around the world are pretty similar and if you are communicating with them through e-mails, letters and reports it's best to write to them in a clear and concise style. Be polite but straight to the point, things like humor and poetic license can only lead to misunderstandings and shouldn't be used unless the report is going to be read by only one or few people you personally know. Besides all that you should assume that the people reading your report see their time as valuable and they aren't reading it for entertainment.

Professionalism is like an extra set of manners that lets you bridge cultural differences and do business with people any where the world.
