Writing Formal Letters

Adrian Said:

any web site about writing formal letters?

We Answered:

Yes.
What you have to do is to write the name, address and date of where you are now.
Then leave 1 or 2 spaces and then write the full name and address of the person you are writing the letter to.
Do this on the top right hand corner.
Then leave 3-5 spaces and write your letter.
At the end, write something like "yours sincerely" if you don't know the name of the person and "yours faitfully" if you know the name of the person.
Then leave 1 space and then write you signiture if you want to, then your full name.

Example:

John Smith
38 Whitechapel Road
London CS747 (Sorry, I'm not good at UK postcodes)
4 July 2003

Tom Hall
27 Picadilly Circus
London CD757

Dear Tom,

I am writing to thank you for my Christmas present you have given me for Christmas!
It was very thoughtful of you haven't seen me for a long time.
Most people do not give me Christmas presents.

I also hope you have had a good Christmas!
I am feeling OK now though I was very sick a few weeks ago.
I hope Anne is OK too.
I haven't seen her either for a long time as she is your sister.

Good luck also for the exam I have heard you are doing!
Hope you are well.

Your good friend,
John Smith

Normally you wouldn't write a letter like that, thanking for a Christmas present but it is only an example.

Here are some websites. They are not where I got my information from but they might help.
http://www.plasform.com.au/modules/lette…
http://www.leedstrinity.ac.uk/sdev1/drob…

I hope you find my answer good and imfomative.
Good luck!

What is the right way to write the punctuation and letters cases in formal writing?

We Answered:

The mother of all authoritative style and usage guides can be found here:
http://www.bartleby.com/141/
There are various others scattered around the web including the excellent Chicago Manual of Style ? but it is not free.

I also have a really useful paperback reference to style, punctuation and grammar. I have had it so long the pages are yellowed and dog-eared and the spine is cracking but it has always been a useful and trusted tool. I can't see it in my book case at present and it is probably out of print, but I will look further and add the title here when I find it.

By the way, you are to be congratulated for making the effort to write and express yourself clearly and correctly!

Found it. The title is simply "English Grammar" by B.A. Phythian M.A., M.Litt.
It is a teach yourself style of book. ISBN 0 340 35873 4

I would like to also add that a good rule for using a full stop after an abbreviation is that if the abbreviation ends with the same letter that end the complete word, a full stop in not required, e.g.: Dr and Mr don't need a full stop but Prof does.
Last item (promise): it is pet peeve of mine to see people attempt to pluralize e-mail by writing or saying e-mails. E-mail, like sheep, is both singular and plural. If you receive several letters in your mail, you don't say you have mails. If you really need a plural it would be correct to say e-mail messages.

Rosa Said:

I think this is difficult: What is the role of simplicity and clarity when writing formal letters?

We Answered:

Clarity and simplicity are important when you want to write, so the points you are making should be clear and concise to the point. A person who writes any type of formal letter should remember that the writing must be understandable and polite.

Beverly Said:

how can i be a professional in English , such as writing formal letters, faxes, mails as executive secretary?

We Answered:

Hooray! Someone cares! Business communications has gotten too informal. I'm glad you want to know more about writing more professionally.

I think the book I had years ago was put out by Webster - it certainly has been updated to account for today's many means of communication. I'd shop for a great book that will give you many examples of business letters and style at Barnes and Noble. And by all means, have your boss expense it!

Discuss It!
