TECHNICAL LAYOUT OF A LETTER:

1. Letterhead:
This will include your company’s name, telephone number, fax number and email address if available.

2. Name and address
Always include the recipient’s name (addressee), address and postal code.

3. Date:
Always date your letters. Never abbreviate for example January to Jan.

4. Reference:
This is optional.

5. Salutations:
The type of salutation depends on your relationship whit the recipient.
Always try to personalize the letter thus avoiding the dear sir/madam situation.

6. The body of the letter:
This will contain a number of paragraphs, each paragraph dealing with one point and one point only.

7. Signature:
The signature should be clear and legible showing you are interested in the letter and consequently in the recipient. Your signature should also be followed underneath by a typed version of your name.

8. Enclosures:
If you include other material in the letter, put “Enclosure”, “Enc”, or “Encs”, as appropriate, two lines below the last entry.

This is in general for any letter, and then with this structure you can develop a covering letter with the following specific tips

- Address by name if you can such us Dear Ms X; and conclude with Yours sincerely.
- If you have no name, address as. Dear sis/madam; and conclude with Yours faithfully.

- identify yourself, what job are applying for and how heard about it
- Perhaps provide a summary of your main abilities, skills, “selling points”.

Some useful phrases.

In response to your advertisement......following our telephone conversation........would be considered for....here is my CV for your consideration.........writing to enquire whether.

The development of the main part may be divided in the following paragraphs:

- Give details of why you want to join the organization and do that particular job, sound keen and enthusiastic and show you have researched the employer and the job.
- Say why they should be interested in you; give your main selling points.
- Deal with any negative aspect of your application, if you can justify any weak points in your application, such as poor A-levels owing to illness, this may be included.

Vital information to include:
Relevant work experience, related interests and skills, especially if theses are not fully covered elsewhere; particularly relevant aspects of your course.

USEFUL PHRASES:

As you can see from my CV.... attracted to working for you because...I can offer...especially interested in... my main skills are...most important qualifications and experience are...happy to supply further information...available for interview at any time...look forward to hearing from you.

I am writing you in response to your advertisement for...
As you can see from my enclosed resume, my experience and qualifications match this position’s requirements.
I would like to point out...
During..., I improved (furthered, extended, etc.) my knowledge of...
I look forward to an opportunity to personally discuss the position with you.

Please accept this letter as an expression of interest in the position of...
I have enclosed a copy of my resume for your review.
...and believe possess the right combination of ... skills.
My current position... has provided the opportunity to...
I would welcome the opportunity to personally discuss my potential contributions to your company with you.

I haven't found any good websites. But you can go to the library and look up the "Dummies" series. Some other books to check out are: "Damn Good Resume" and "Resume Pro: The Professionals Guide."
