Writing A Complaint Letter

The best way to handle this situation is to initially writing a summary of the billing problem and expressing your disappointment in the situation.It is also wise to state the way you wish the situation to be resolved or how you would like the company to deal with your complaint. For example - "I thank you for your prompt response on this matter and look forward to recieving your written response shortly".
This lets the company know exactly what you are expecting from them. I generally find that I prefer a written response from the company as this is then documented whereas when a resolution is promised by phone, I find sometimes the promised resolution is not carried out. This also lets the company know that you expect a prompt response from them.
If you do not get a response from them within a resonable time frame, I would then send a more detailed letter detailing all the calls and correspondance at this point.
Should you still not recieve an answer that is satisfactory I would then send them a letter and copy it to any relevant ombusman / monitoring comittee (you can find this info on the net or through the citizens advice beareau)

Yep. I wrote one to the tanning place I used to go to. I thought the customer service was absolutely horrible. And my niece, who is 16, told me yesterday she wrote a complaint letter to the local zoo because they didn't have an animal she wanted to see! Haha!
