That's really all you can state in the letter, aside from your own personal interaction with the individual.

Be aware that the letters may not even be referred to in the initial application as it is a common practice for applicants for SSI to be initially denied.

They (the letters) will however bear weight when the appeal process brings his file before the administrative judge.

Make sure your loved one does not get discouraged if they are initially denied and retains a lawyer that specializes in these cases.

When he(or she) does eventually get the award, they will receive retroactive payments from the time of their initial application.

In regard to the letter, its best not to put speculative information (he/she seems sad, happy, etc) better to put info concerning more "concrete" observations that do not require a medical background (unless you have one) such as "does not interact as regularly since accident/illness/trauma/whatever.

If the policy allows for reimbursement, there are usually rules on how much they pay for food and lodging per day. There should be no letter involved, but there are generally forms and you must attach all of your receipts for the trip that you are claiming. It is usually required that you also get your immediate supervisor's approval both before and after a business trip.

It sounds a bit like you may not have known what you were getting into and without knowing the company policies, you may end up having to eat the costs.
