Start with looking at what service you will be offering and then figuring out what it will cost to do it and still make a profit. Once you have that a letter would go something like this.

Dear Sir,

As per our discussion, zyf company will clean:

list the specifics. floor wall, windows. restrooms, vacumn, or polish, clean trim on a _____ly basis. We/you will supply (what ever you need like storage space for equipment, chemicals, keys, etc) The agreed upon price will be xxx to be paid on the (select a date) or time period.

We will not do list item if applicable. These services will be ongoing for time period beginning on _____.

This service may be terminated by either party with a ____ day notice. and any other terms you may want.

have a place for the responsible person of each party to sigh and date. have copies for all parties.

date and sign the proposal .
