seems like you have a pretty good start. make a list of all the information you need to convey. then write a clear sentence for each of the points on your list. it's better to have more short sentences and communicate successfully than to have fewer sentences and confuse your reader.
also, use a spell checker, and always read through the final draft one more time, just to be sure there are no obvious errors.
