Tips for writing effective letters to schedule an appointment:

Mention or restate the purpose for the meeting or other event. Describe what you would like to accomplish so that the other party/parties involved know your expectations.

Briefly mention your qualifications, past experience, and other relevant information; the position you are seeking; when you can meet and when you would be available to begin working; and so forth.

If applicable, mention how the reader will benefit from the appointment.

Include the date you would like to meet, or reiterate the date you had planned to meet.
*

If other people besides the reader will be present, you may wish to mention briefly the other individuals who will attend.
*

If appropriate, include information such as where the meeting will take place; how long it is intended to last; any items, documents, etc. that the person(s) should bring to the appointment; and so forth.
*

Indicate by when you need a response to affirm that the reader can attend the meeting. If you intend to contact the person to follow up, indicate this in your letter.

Paychecks are available monthly in the Cashier's Office in Mitchell Hall, but the University has a direct deposit option and you are asked to use it. Tell them who would do it, what they would do, when they'd be available, where they'd work, why the service is needed and how this would help both the customers and the company. Make the benefits clear - free up other peoples' time? Attract more elderly customers? Get paperwork moving faster?

Don't go in asking if you're not prepared to have it all planned out. They don't have to go with your idea 100%, but it shows effort and problem solving.

You seem to be doing research to find out how many of your former students placed in jobs, where they are, and getting proof of their employment. It will not be easy to get people to spend their time providing you with this information. You might want to offer them something in return for their time and effort. In any case, open your letter with an explanation of who you are and why you are asking for this information. Tell them that you share their pride in their accomplishments, and that you appreciate their support of the school by taking the time to help you with this research. Then offer them the reward (some small item of appreciation which you will send to them, such as a gift certificate) which you will send back when you receive the information. It is extremely important for the recipients of the letter to understand why you need the information in order to get them to help out, and you really do need to reward them for their effort.
