Your letter will have a heading (place and date in upper right corner), a salutation (or greeting), body, complimentary closing, and a signature. The body of your letter should have four paragraphs organized in the following way.Paragraph 1:
Introduce yourself. Tell me your name, what schools you have attended, and what you like about school. Describe what you think are your personal strengths and weaknesses. This can relate to academics, sports, or creativity.
Paragraph 2:
Describe your family. How many siblings do you have? Have you and/or your family lived in any other countries or cities? Do you speak any other languages than English? Do you have any pets?
Paragraph 3:
What special hobbies and interests do you have? Do you play any musical instruments? How well can you operate a computer? Do you have one at home? How well can you type? Name at least one thing you have done that you are proud of. What sports do you like? What type of books & magazines do you like to read? What are your favorite books and/or plays?
Paragraph 4:
What English reading and writing skills do you need help with? What are your expectations for this class? Do you have any hearing or vision problems that I need to consider when making up a seating chart? Do you have any specific learning needs about which I should be aware? Are there any other details you would like me to know about you?

Here's a tip...pretend you are the reader of such a letter...what would YOU like to hear? Reasonable rates, professional service, cleanup included (ya know, the dust is HORRIBLE), and the like.Draft it and then have someone proofread it for errors, poor English and such.
It's better than a dry, old, run-of-the-mill form letter.

you should make up information packages to include with your letter. it should include pictures of the school, something about the city it is in, the history of the school, what it's extra curricular activities include, it's facilities, dorms etc. the size of your enrolment, the staff and their credentials, and a detailed outline of how you intend to run your exchange program. In your cover letter you should introduce yourself and your position at the school, and give a brief description of the school. (student size, location, age) say that you are hoping to implement a student exchange program and that you wish to include students from (the school you are writing to) in the program. Tell them you have included an information packet regarding the program and would like them to consider your request to include them. Are you familiar with the Head Start program? You'll want to write a separate letter for each type of program. State your name and describe your qualifications and credentials briefly. Then make a brief comment about the program ie, "I understand that Head Start focuses largely on low income families, and I so admire that goal of helping others. I would love to be a part of this program." Or for a non-HS program, "I understand that you use the Creative Curriculum in your program. I haven't worked with that before, but it sounds wonderful and I would love to learn more about it." This means you'll want to do a little research about the programs you're applying for so you can make an intelligent reference to the program. That shows that you are truly interested in working for that particular program. You may also want to be sure that the administration is accepting applications. The program I work for only keeps letters and resumes that come in when they are seeking to fill a particular position, and others that come in randomly are discarded. And don't overlook programs that are primarily child care programs. Even though that may not be your goal, you can accumulate hours of experience which many more structured programs require before they will hire you.
