You should always thank the customer for bringing the error to your attention because your company is interested in providing excellent customer service, blah blah.

Since you are writing a positive letter (meaning you agree there was an error on your part), you tell her what you are going to do to correct -reverse charges and explain how you have changed policy to prevent reoccurance (machine have now been programmed not to allow two charges of the exact same amount on the same day without manual override, etc. or whatever sounds good.)

Go the extra mile. Offer a freebie or something (that is within your power)

Thank customer again and close.

I would write something like this:
The practice of gender biased views, along with a misuse of authority within this company, is unsettling to me and my Mum. The fact that it happens to be a woman with these views towards OTHER women, is one that needs to be dealt with on a personal level. Not only is it insulting, it's inexcusable. If you continue to encourage or tolerate behaviour such as , (list your reasons of concern), you aren't putting the integrity or character of yourself, as the owner of the business, or that of your employees before all else, and I don't see where that is a fair thing to do. I appreciate your immediate attention to this matter. Thank you for your time.


(now if this particular job class requires more physical strength and endurance than others, it's important to note that your Mum is qualified for it, and meets all requirements)

Can you talk to the other neighbours who suffer this dog and it's irresponsible owner? Seriously, several people complaining will make a huge difference and provide evidence.

Have you confronted your neighbour and told them the problem? I can understand a reluctance to do this but sometimes it can be an enlightenment in neighbour relations!

You may also call the police, as dog fouling is a crime. The police may not deal with it directly but might fast track a complaint to the council or send a community officer to your neighbour to 'talk' to them.

In the meantime I'd scoop the poo and throw it back into the dog neighbour's garden, but that's not very constructive!
