It's best to have a letter on the letterhead of the school, including their tax exempt number with the request. Let them know what they get out of it. Will they be mentioned in the school newsletter? Listed in the local paper? Remember, they want to do things that will generate business.

Then write them a thank you - with the name of their company as well as what they donated specifically so they can file it for tax purposes.

Remember to keep track of who says they'll donate next year, who was particularly nice,, who was nasty, etc.

You can say "to whom it may concern" but it may be better to say "Dear local business owner" or "Dear __________(name of city) business owner" - sort of puts you in the same boat.

And if you do run into nasty people, just make a note of it and don't take it personally. They're probably crabby with everyone.
