Writing a formal letter follows a specific pattern, which is structured like this:

The letterhead

Three or four blank lines, the date is right-aligned. In the line below appears the sender's address and any contact details. After another six empty lines is the address of the recipient.A possible contact person is directly mentioned under the company name. After five blank lines follows the subject,written in bold. After two more blank lines comes the salutation formula

The letter text

Keeping it short appliesto both, e-mail and formal letters.The more effort you so investwriting, the less misunderstandings in communication & the faster the letter´s matter is delivered.

A letter text is clearly structured, with every thought or sense of connection sorted in a separate paragraphs. The font should be easy to read.
In the first paragraph the concern should be briefly outlined, so the recipient can respond to the following statements.

The text should be in a easy to follow flow, avoiding complicated formulations.

The foot of the letter

A blank line separates the foot of the letter from the main text, it follows the salutation

"Mit freundlichen Grüßen", "Mit herzlichen Grüßen" or very formal "Hochachtungsvoll"
