We Answered:

Since you're already chosen to do the project, basically what you would need is a simple contract of sorts...keep it straightforward and to the point.

Page I/Cover - name of job (i.e., St. Christopher's Park Mural, Any town, Any state), date (use the date of the contract, not the date you will start the project); put your company name or your name on the lower left or right corners of the page to show it's presented by you.

Page II/Scope - describe in detail the scope of the job. Name and location, discussion of work to be completed from start to finish.

Page III/Terms - clearly and concisely lay out the payment terms and phases of the project. For example, Phase I might be sketching out or designing the mural...say what it is. Tab over and put the amount due upon completion of Phase I. If you require a payment upfront to get started, for materials or what not, then make the payment due upon commencement of the project. Phase II, discuss where you will be 1/2 way through the project and the amount due. Phase III will be completion and the remaining monies due.

Page IV/Signatures - do a page for signatures and countersignatures. Verbiage might include, "Agreed and accepted this day ___fill in date___ of ___Month__, 2006." Underneath that simple blurb, on the left put a line for the contracting party's signature; right underneath their line type their name and title. Tab over and do the same for yourself.

You obviously will have to provide the specific details and information, but this is the gist of it. Take the signed contract to copy; keep the original for yourself and mail or drop off the copy to the client.

Funny you should ask - I'm in the middle of writing a proposal right now. My proposal is for software development for the government.

Your proposal should tell your prospective customer four things:
1. you know what your customer wants
2. you know how to do that
3. how you're going to do it
4. how much it will cost

You can show that you know what the customer wants by expounding on his requirements. Ex. Your customer needs a computer system to edit digital images. You say: To edit digital images you need a good graphics card and an excelent monitor.

The best way to convince your customer you know how to do what you say you'r going to do is to show him that you have done it or something very similar (assuming that you have actually done it - DO NOT LIE!!!). If it is not exactly the same you will need to show why it's close enough. In either case you have to be specific. Ex:" I have build a computer system for XYZ which is being used for computer gaming. Computer gaming has many of the same requirement - such as high graphics requirement - as digital image editing."

Describe how you will do what you're planning to do. Include lots of pictures and details that will make it plain that you know what to do and how to do it. If some of the details will need to be worked out after you start then you need to let them know and explain why.

Let them know the cost and the terms. It's very important to let your customer know what is and what is not included.
