Don't bother with fluff -- most business people are too busy for it. You can be very straightforward. All you need to say is something like "Thanks for meeting with me. I appreciate your thoughts about our widgets. We will continue on our present course and meet with you again next year. Thanks again for your time."Handwriting this on a note card (I use ones with my company logo on them, but they can be plain) is a nice touch.

Do a mail merge after your created the business letter . You can you microsoft office and ask the wizard for a good bussiness template. then To start the mail merge process:Start Word.
A blank document opens by default. Leave it open. If you close it, the next step won't work.
On the Tools menu, point to Letters and Mailings, and then click Mail Merge.
Note In Word 2002, on the Tools menu, point to Letters and Mailings, and then click Mail Merge Wizard.
The Mail Merge task pane opens. By using hyperlinks in the task pane, you navigate through the mail-merge process.
