Your key word here is a business proposal letter or "RFP" Request for proposal. Your asking for a proposal to meet the need of your school. The format will have your company information, address, name, phone number and whatever else is of importance in the top left hand of the document that would look like an address label. A few lines down you start the body of the letter which asks for what you need. After that you put a few more spaces in and then close it with something professional like "Sincerly" again on the extreme left and then skip a few more lines and put your name in print, your title and email or contact informaton. If you will be mailing this, you will want to sign it just about your name.

Now, in case you cant find anything to truely fit your needs I will give you some sentences to start you out. Change it to fit your exact needs. Keep in mind that its not really that important for you to be prim and proper here as your the customer. The other guy, the sales man will need to be absolutely spot on with grammar and proper formats, but as the customer, your giver tons of leeway. The important thing for you, is to get them the proper information that they will need to give you a quote.

I represent the xyz corporation and we are currently requesting RFP's (request for proposal) for the sale and installation of a new air conditioner for our office at 123 jones avenue. I encourage you to be competitive with your bid as this contract will be awarded to the vendor that is capable of providing us with the most competitive contract. I would go on the Internet under legal forms specifically the form you're looking for you should get at least 4 or 5 locations to obtain it. They usually have a fee for the forms but they are extremely reasonable.
