Danielle Said:

how to write an invitations letter? >> formally?

We Answered:

When writing an invitation letter, be sure to include:

*the name of the person sponsoring the event (who is the host/hostess?)
*exactly who is invited (can someone bring a guest, spouse, child?)
*what type of social event is being held
*the date, address, and time of the event
*directions or a simple map if the location may be difficult to find
*what type of dress is appropriate or preferred (if applicable)
*the phone number and deadline to reply; precede these facts with “R.S.V.P.” (French abbreviation for “please reply”).

Try to send your invitation letter two weeks or more in advance.

Here is a sample I found on the internet (just tweak it for your purpose or use it as a guide):

how to write a respond letter to a diplomatic invitation?

We Answered:

Just write the letter in the best English you can, and then show it to someone in the office who knows English for correction (assuming the letter is to be written in English).

I would suggest the following outline:

Thanking the official for the invitation.
Saying that Mr. Boss would be honored to accept.
The following dates would be good possibilities --- :
Hoping that a date can be confirmed by mutual agreement.
Looking forward to hearing from you.
Again, expressing appreciation for the invitation.

Basically review your templates, then keep the letter short simple and to the point of what you want to say. Have your supervisor review it and you should be set to go if you get the OK. Good Luck.
